The Efficient Document Manager

File IT is a document management system that expedites the process of converting paper documents into electronic records which can be stored and retrieved with ease. A variety of high end Imaging solutions are available which provide comprehensive Image processing facilities, but a lot of users require only basic imaging features. File IT is aimed at satisfying the requirements of the low-end market.

The prospective customers could be:

• Government offices which require the images of the original documents to be stored e.g. Mahanagar Gas Ltd.
• Civil Services requiring to store indexed images of various tools, machinery and related spare parts.
• Different departments of the company where document management play key role in operation.
• Insurance companies where paper volume is moderate.

File IT functionally can be broadly divided into following:

• Viewing images & image manipulation
• Indexing & database storage Attaching third party files to images
• Retrieval & Printing
• Screen Building tool

File IT is capable of using any TWAIN compliant scanners with Automatic Document Feeder (ADF). Documents can be scanned as either single page images or multiple page image.

File IT facilitates certain image manipulation functions as rotate, shear, deskew, zoom, resize etc. A viewer is also provided to view image files before indexing.

Indexing is the process of attaching a unique textual information to an image file. This information would be used to retrieve the images and associated information. The index forms are designed by the client as per requirements using the Screen Builder utility. All the index information are stored in tables in any ODBC compliant database such as SQL Server, ORACLE etc.

File IT will allow the user to attach files of third party software like MS-Word, MS-Excel

The images can be retrieved using a query form in the File IT application. The query form searches on the index information stored in the File IT database. Wildcard queries are allowed by the system.

A screen builder utility will be provided in the File IT. This will allow the user to simultaneously define the indexes for the database and also design the screen layout. The defined UI and database settings will be stored in a text file format.

The Security module will provide an interface for creation and maintenance of user defined roles and User id /passwords .
